PROM 2020-2021 INFORMATION

THIS PAGE WILL BE THE LOCATION WHERE ALL CORRESPONDENCES TO PARENTS WILL BE POSTED. STUDENTS ARE EXPECTED TO USE THE PROM GOOGLE CLASSROOM TO FIND ANY ADDITIONAL INFORMATION AND RELAY ANY INFORMATION THEY DEEM IMPORTANT TO PARENTS AND GUARDIANS.

Hi everyone,

It’s hard to believe that the time has finally come! Prom is tomorrow and we have a few reminders to pass along.


1. Due to Covid 19 regulations, there will be NO large group gatherings.

2. The school has not organized any events or gatherings other than the prom at the school.

3. Brake’s field off of Queen Street will not be available due to current Covid 19 regulations and the school will not be associated with any large group gatherings.

4. Although the school is not involved in any activities other than the prom at the school, the Department of Environment has asked that we pass along the following message to parents and students : Anyone (students or parents) who has bonfires on their own need to be aware that it is illegal to burn certain materials such as household items, mattresses, couches and hazardous materials. Legal charges can be brought against anyone burning illegal items. It is legal to burn wood and branches/logs.

5. Prom will start at 4:00 p.m. tomorrow, Friday, May 14th, 2021 at the school. Graduates are expected to be here for that time.

6. Unfortunately, parents and family members are not permitted in the school for the prom - it is graduates and staff only.

7. There will be absolutely NO tolerance of alcohol, drugs, smoking or vaping. Any student suspected of such will be asked to leave.

8. Students have been separated into four smaller groups (A, B, C & D) for social distancing purposes. Students were given an opportunity to sign up for a group and if they did not, they were placed in a group. We have done our best to keep friends together as much as possible.

9. Each group of students (A, B, C & D) will be assigned to a classroom and will proceed directly there from the front entrance at 4:00pm. From their classrooms, each group will:

A. Descend the spiral staircase (single file) and pose for a picture.

B. They will then proceed to the gym, where they will walk across the stage, have their name announced and pose for a picture.

C. They will then be able to take pictures with each of the decorations in the gym. Staff volunteers will help with taking pictures.

D. When they are finished taking pictures in the gym, they will return to their classroom area to wait and watch the other groups.

10. While in their designated classrooms, students will be able to view the other groups procession throughout the school via google meet on the smart boards. Students will also be provided with food and beverages.

11. Students are free to leave when their group is finished but we would encourage all students to remain and watch all groups.

12. When students leave, they will be given a grab bag of goodies of items donated from various businesses and groups around our wonderful town. They will also receive their letters from Grade 9, forever grateful and a prom keepsake.

13. When graduates leave the prom, they are not permitted to re-enter the school.

14. There are some decorations in the gym that are personalized for each graduate. We will make these available to students in the coming weeks if they would like to have theirs. Please do not take your decorations off the walls during prom.

15. Students were asked months ago to send in quotes for the butterflies – if they did not, a quote was generated for them (apologies to anyone who’s quote did not make it to the butterflies – this can be completed at a later date if so required).

16. Students were also asked to send their pictures for the slideshow – this will not be ready for the day of prom. We are planning to include pictures from prom night so we will let you know when it will be available for viewing -this will be on the school website for viewing. (apologies if certain pictures submitted were not included due to time constraints, media consent forms not signed, etc..)

17. Due to the current Covid 19 situation, and the latest developments with public health, we have taken every precaution to ensure safety first. Thus, graduates are reminded to respect the six foot social distancing regulations and mask-wearing policies that are in place for everyone’s safety.

18. This year’s prom has been an “hour by hour” situation due to the pandemic and we are doing our utmost to ensure our SHS class of 2021 has a memorable day. We apologize for the fact that parents, families, dates, etc. were unable to aid in preparations or be present in the building during the prom but we as a staff will work to the best of our ability to ensure that all memories are captured through pictures and video, which will be shared with you as soon as we can.

19. If there are any questions or concerns regarding prom, please contact us and have patience as we try to help ensure that your child has a happy day.

Good Morning Parents / Guardians of SHS Class of 2021

The time is finally here and our children are graduating. Where has the time gone? We are planning a Class of 2021 Prom on Friday, May 14, 2021.

Although this is not a normal year, we are working very hard to create a wonderful prom experience. As you are all aware due to Covid 19 restrictions, Stephenville High School is not permitted to allow anyone other than students and teachers into the building. Students will still have their prom and parents will be able to view this via video. This will not be live streamed as we will be including all events of the entire night as well as the graduate slide show. This will be available to all parents shortly after the prom itself on the school website. While this is not ideal, this is the best scenario we have at the moment and considering we were unable to celebrate last year’s graduates here at the school, this is a fantastic opportunity.


This email is just to update you on things that are happening:

Slideshow:

1. Students are asked to send 1 grad photo and 3 other photos into Mrs. Caul for the slide show. We will also be including a pic of the student coming down the stairs in the slide show as well as others taken throughout the night.

2. Pics need to be clear – can be emailed or bring in hard copy and we will scan and return to them. Some of the ones passed in so far blurry and will not be good for the slideshow.

3. Students have been asked to send in a personal quote to Mrs. Caul ASAP. These are used with the decorations for prom night so we need them asap.

4. All students must have their media consent forms passed in to the office ASAP. If the media consent form is NOT in, the student will be excluded from all pictures and video coverage.

Prom Day:

5. Prom will take place Friday, May 14, 2021 at 4:00 pm

6. Due to Covid 19, all ecumenical services are cancelled this year.

7. Masks will be mandatory – can be removed for pics only.

8. 6 feet mandatory regulations still in effect at prom

9. All information will be relayed through the Prom Google Classroom and NOT Facebook. You will be required to check with your graduate for regular updates.

10. All students have been added to a Prom google classroom

11. Parents can access all prom information on the school webpage. https://stephenvillehigh.nlesd.ca/

12. Parents, dates and siblings will not be permitted in the building at any time.

13. Students will not be able to come into the school to take pictures during regular school hours.

14. Graduates will be marked “T” for the day as this is a school function.

15. All students will be in the school at the same time for prom. When students arrive at the school, they will be directed to their assigned classroom where food and beverages will be available for them.

16. Students will be separated into smaller groups to come into the gym and they will stay with this group for the entire timespan of “in school activities” as per department of health regulations. Students will have the opportunity to sign up for a time slot as to when they want to go down the stairs. This will allow students to walk with their close friends as much as possible. Those who do not choose a time slot, will be placed into one.

17. Students will come down the spiral staircase where a picture will be taken. They will then proceed to the gym where they will walk across the stage and their name will be announced. We will have a staff member taking pictures. Students will also have an opportunity to take pictures with all of the graduation decorations in the gym and a staff member will also be there to take pics of the students. Students are encouraged to bring their cell phones or cameras for selfies.

18. Students will be able to take their own pictures outside the building. Weather permitting – the 2021 numbers will be placed in front of the school after the prom for a period of 1 hour for students wanting pictures.

19. Hopefully students will stay and watch the entire prom via google meet in each classroom but if they choose to leave the building, they will not be permitted to re-enter the building regardless of reasons. This is to ensure safety.

20. Students are welcome to bring camera/ cell phones – will assist where we can. Staff will also bring their cameras and take pics.

21. Unfortunately, due to Covid 19 restrictions, we are unable to have a dance or a grand march.

22. Students can vote on prom color combinations and songs via google classroom. They will also vote on a class of 2021 quote for the mural.

23. We are relying on teacher volunteers along with students to decorate the gym and spiral staircase as parents are not permitted in the building.

24. All students will receive a forever grateful card, flower for their parent/ guardian as well as their as their “letter to self” from grade 9. They will also receive a “Congratulations Bag” containing items donated from the various businesses throughout our town – thank you to all who are organizing and donating – this is a special treat for our grads ��

Extra Information:

1. Students can order hoodies via prom google classroom – this is separate from any fees already paid at the school.

2. Students , not parents, can order “Home of 2021 Graduate” signs – via prom google classroom - this is separate from any fees already paid to the school.
